Getting Started

Go to Units and add all the rooms/units in your estate (unit number, type, monthly rent).
Go to Tenants and add each tenant. Assign them to a unit and set their move-in date.
For tenants already living there, check "This tenant is already residing" and enter any arrears they owe.
Go to Settings and enter your M-Pesa Paybill number and your Africa's Talking SMS API key.
Done — the system will automatically send SMS rent reminders every month.

Managing Tenants

Add Tenant: Click the blue "Add Tenant" button. Fill in name, phone, and assign a unit.
View History: Click any tenant card to see their full payment history and messages.
Edit: Click the edit icon on any tenant card to update their information.
Move Out / Archive: Click the archive button. This frees up their unit and keeps their history.
Existing Tenants: Use the "Already Residing" toggle to set their actual move-in date and record any outstanding arrears from before this system.

Units

Add a Unit: Set the unit number (e.g., "A1"), type (Bedsitter, 1BR, etc.), and the standard monthly rent.
Status: Units are automatically marked Occupied/Vacant when you add or archive tenants.
Maintenance: Change a unit's status to "Maintenance" to temporarily remove it from available units.
Custom Rent: If a tenant pays a different amount than the unit's standard rate, set a custom rent when adding that tenant.

Recording Payments

Record Payment: Click the blue "Record Payment" button. Select the tenant and enter the amount paid.
Period: Always set the month the payment is for (e.g., "May 2026"), not the date received.
M-Pesa Reference: Paste the M-Pesa transaction code here for your records.
Balance: The "Balance Remaining" field shows how much is still owed after this payment. Enter 0 if paid in full.
Carried Forward: If a tenant had arrears when joining, their opening balance shows as a "Carried Forward" entry at the top of their payment history.

SMS Reminders

Automatic: The system checks every day at 8:00 AM (East Africa Time) and sends SMS reminders automatically.
Schedule: Set the reminder days in Settings (e.g., Day 1, Day 5, Day 10, Day 15 of the month).
Manual Trigger: On the Messages page, click "Run Reminder Check" to send reminders immediately for testing.
Requires: A valid Africa's Talking account with your API Key and Username entered in Settings.
Templates: All SMS templates are fully customizable in Settings.

Settings & Configuration

Estate Name: Change the estate name shown on all reports and SMS messages.
M-Pesa: Enter your Paybill number and Account name — included in all reminder SMS messages.
Change PIN: Change your login password from the Settings page at any time.
Africa's Talking: Enter your AT Username and API Key to activate SMS sending. Get these from account.africastalking.com.
SMTP Email: Optional — enter Gmail credentials if you also want email receipts sent to tenants.
